Terms and Conditions for Aircam Drone Services

Section 1: Voucher Validity and Extensions

Voucher Validity
All vouchers issued by Aircam Drone Services are valid for a period of 12 months from the date of purchase unless otherwise specified. We encourage voucher holders to book their preferred date for the experience well in advance to ensure availability and to avoid any disappointment. It is important to note that the experiences offered are subject to scheduling and weather conditions, which may affect availability. We recommend not making any travel or accommodation arrangements until your booking has been confirmed by us.

Voucher Extensions
We understand that circumstances can change, and you may require more time to book your experience. Therefore, Aircam Drone Services offers a straightforward and convenient voucher extension service. Voucher holders may request an extension of their voucher’s validity period, provided that the request is made before the original expiry date. To extend a voucher, please contact us and we will assist you with the process. An administration fee of £25 will be charged for extending a voucher's validity. If the price of the experience has increased since the voucher was purchased, the voucher holder will also be required to pay the difference in price. Please be aware that once extended, vouchers cannot be refunded.

Section 2: Booking and Cancellations

Booking Your Experience
To redeem your voucher and schedule your drone flying experience, Aircam Drone Services requires that all bookings be made in advance through our official booking system. After purchasing your voucher, please contact our customer service team to secure your preferred date and time. We recommend booking as early as possible, particularly during peak seasons, to ensure the best availability.

Booking confirmations, including date, time, and any necessary preparation instructions, will be provided to you in writing. Please avoid making irreversible travel or accommodation arrangements until your booking has been confirmed by our team.

Cancellations by Customers
If you need to cancel your booked experience, please inform us at least 14 days before your scheduled date to be eligible for a rescheduling or refund. Cancellations made with less than 14 days' notice will not be eligible for a refund. However, we may, at our discretion and subject to availability, offer you the option to reschedule your experience.

Cancellations due to Weather
Given the weather-dependent nature of drone flying, Aircam Drone Services reserves the right to cancel any experience due to unsuitable weather conditions. In such cases, we will endeavor to provide as much notice as possible and offer alternative dates for your experience. Should no suitable dates be available, we will issue a full refund.

Cancellations by Aircam Drone Services
On rare occasions, Aircam Drone Services may need to cancel a booked experience due to unforeseen circumstances, such as equipment malfunctions or other operational issues. In these instances, we will offer you the choice of rescheduling your experience at your convenience or receiving a full refund.

No-Show Policy
Failure to arrive for your scheduled experience without priornotice will be considered a no-show. No-shows are not eligible for a refund or rescheduling. We kindly ask for timely communication if you anticipate any delays or issues in attending your booked experience.

Section 3: Event Availability and Changes

Event Availability
Aircam Drone Services offers a wide range of drone flying experiences, all of which are subject to availability and suitable weather conditions. Vouchers are valid for 12 months from the date of purchase, providing flexibility for voucher holders to book their preferred date. We strongly recommend booking your experience well in advance, particularly for weekend dates or peak seasons, to secure your desired slot.

To ensure fairness and accessibility for all our customers, bookings are taken on a first-come, first-served basis. Our website and customer service team can provide up-to-date information on availability and any seasonal variations in scheduling.

Weather Dependence
Due to the outdoor nature of drone flying, events are weather dependent. We monitor weather conditions closely and will make decisions regarding event viability with your safety and enjoyment in mind. Should weather conditions deem it unsafe or impractical to proceed on the scheduled date, we will notify you as soon as possible to arrange an alternative date.

Changes to Scheduled Events
While Aircam Drone Services endeavors to deliver all experiences as scheduled, we reserve the right to make changes to event dates, times, or locations due to unforeseen circumstances such as equipment issues, safety concerns, or extreme weather. In the event of such changes, we will inform you at the earliest opportunity and offer alternative arrangements. If the alternatives provided are not suitable, you will be entitled to reschedule your experience at a more convenient time or receive a full refund.

Customer-Requested Changes
If you wish to change your booked experience date or details, please contact our customer service team at least 14 days before your scheduled event. We will do our best to accommodate your request based on availability and operational capacity. Please note that changes may be subject to an administration fee.

Section 4: Refunds

Refund Eligibility
Aircam Drone Services is committed to ensuring customer satisfaction and understanding in circumstances that may require refund requests. Refunds for voucher purchases are available under the following conditions:

  • Unbooked Experiences: Refunds for unbooked experiences may be requested within 14 days from the purchase date. Such refunds will be subject to a £25 administration fee to cover processing costs.
  • Weather Cancellations: If an event is cancelled by Aircam Drone Services due to unsuitable weather conditions and we are unable to reschedule a suitable date, a full refund will be offered to the customer.
  • Event Cancellations by Aircam Drone Services: In the rare case that Aircam Drone Services must cancel an event for reasons other than weather (e.g., operational difficulties, safety concerns), customers will be offered a choice between rescheduling the experience or receiving a full refund.

Non-refundable Circumstances
Please note that the following circumstances do not qualify for a refund:

  • Booked Experiences: Once a booking is confirmed, and the customer has agreed to the scheduled date and time, refunds are not available if the customer chooses to cancel or is unable to attend for personal reasons.
  • No-Shows: Failure to attend a booked experience without prior notice will be considered a no-show. No refund will be available in such cases.
  • Expiration of Voucher: Expired vouchers are non-refundable and cannot be extended.

Processing Refunds
To request a refund, customers must contact Aircam Drone Services's customer service department, providing the relevant voucher number and purchase details. Refunds will be processed back to the original method of payment within 7 business days, subject to the conditions outlined above.

Exceptions
Aircam Drone Services recognizes that exceptional circumstances may arise. Requests for refunds under exceptional circumstances (such as medical emergencies) will be considered on a case-by-case basis. Supporting documentation may be required for such requests.

Changes to Refund Policy
Aircam Drone Services reserves the right to amend the refund policy at any time. Any changes will be communicated through our official channels and updated in our Terms & Conditions.

Section 5: Safety and Insurance

Participant Requirements
Before participating in any drone flying experience, participants are required to:

  • Complete a safety briefing conducted by our trained staff.
  • Follow all instructions given by instructors and staff members.
  • Wear any safety gear or equipment provided by Aircam Drone Services as instructed.
  • Sign a waiver or disclaimer form acknowledging the risks involved and agreeing to follow all safety instructions.

Insurance Coverage
Aircam Drone Services carries public liability insurance to cover incidents that may occur during our experiences. This insurance provides protection against claims of property damage or bodily injury that a participant might file if they believe Aircam Drone Services is at fault.

Personal Insurance
While Aircam Drone Services ensures that all necessary safety measures are in place, participants may also consider obtaining personal insurance coverage. This additional coverage can provide peace of mind and protect against unforeseen circumstances not covered by our public liability insurance, such as personal injury or property damage for which the participant is liable.

Health Considerations
Participants are asked to disclose any health conditions or concerns that may affect their ability to safely partake in the drone flying experience.

Safety Equipment and Measures
All necessary safety equipment will be provided, and its use is mandatory for participation in certain activities. Our equipment is regularly inspected and maintained to ensure it meets safety standards.

Reporting Safety Concerns
Participants are encouraged to immediately report any safety concerns or potential hazards to Aircam Drone Services staff. We are committed to addressing and rectifying any issues as quickly as possible to maintain a safe environment.

Changes to Safety Policies
Aircam Drone Services reserves the right to update or modify safety policies and procedures as necessary. All participants will be informed of any changes to our safety guidelines.

Section 6: Force Majeure

Definition
In the context of these Terms and Conditions, Force Majeure refers to any event beyond the reasonable control of Aircam Drone Services, which prevents the fulfillment of any of our obligations under the contract, including but not limited to:

  • Severe weather conditions (e.g., storms, floods, extreme winds)
  • Acts of God
  • War, terrorism, or civil unrest
  • Strikes, labor disputes, or lockouts (not involving our workforce)
  • Epidemics, pandemics, or widespread health emergencies
  • Governmental orders, restrictions, or lockdowns
  • Unforeseeable operational or technical difficulties

Impact of Force Majeure
Upon the occurrence of a Force Majeure event, Aircam Drone Services is entitled to suspend or delay the performance of our obligations under this agreement, including the delivery of services or the hosting of events, without being held liable for any form of compensation or penalty for the delay or non-performance.

Notification and Resolution
Should a Force Majeure event occur, Aircam Drone Services will make every reasonable effort to notify affected customers promptly, providing details of the event and its potential impact on their booked experiences. We will also outline the proposed steps to mitigate the situation, which may include rescheduling of events or issuing vouchers for future use.

Customers affected by a Force Majeure event will have the option to:

  • Reschedule their booked experience to a later date, subject to availability.
  • Receive a credit note or voucher for the value of their original booking, valid for a specified period.
  • In certain circumstances, where rescheduling or issuing a credit note is not feasible, a refund may be considered at the discretion of Aircam Drone Services.

The Force Majeure clause is intended to protect both Aircam Drone Services and our customers in the face of unforeseeable and uncontrollable events. We commit to acting in good faith and with fairness to minimise any inconvenience to our customers, while also safeguarding the sustainability of our operations.

Section 8: Miscellaneous

Age and Health Requirements
Participants must meet specific age and health requirements for safety reasons. Minimum age limits apply, and participants should be in good physical health to engage in drone flying activities. Aircam Drone Services reserves the right to refuse participation to anyone deemed unfit for the experience.

Equipment and Clothing
All necessary equipment for the drone flying experience will be provided by Aircam Drone Services. Participants are advised to wear appropriate clothing for outdoor activities and weather conditions on the day of their experience. Further details on suitable attire will be provided upon booking.

Photography and Video
Participants may be photographed or filmed during their experience. Aircam Drone Services reserves the right to use such media for marketing or promotional purposes. Participants who do not wish to be photographed or filmed are requested to inform us prior to their experience.

Privacy Policy
Aircam Drone Services is committed to protecting the privacy of our customers. Personal information collected during the booking process or participation in an experience will be used in accordance with our privacy policy, available on our website.

Property Loss or Damage
Aircam Drone Services cannot be held responsible for the loss or damage of personal property belonging to participants during their experience. Participants are advised to keep valuable items secure or leave them at home.

Complaints Procedure
We strive to provide an exceptional experience for all our participants. However, should you have any complaints, please contact our customer service team as soon as possible. We are committed to resolving any issues promptly and satisfactorily.

Changes to Terms and Conditions
